  • Where does my data go?
  • Can anyone else see what I type?
  • Will my information be used to train the AI?

These are important questions, especially when you’re considering AI in the workplace. Here’s what you need to know about how Microsoft 365 Copilot Chat protects your data.

The Quick Answer?

If you’re signed into Microsoft 365 Copilot Chat with your work account, your prompts and responses are protected by Microsoft’s enterprise data protection and are not used to train Microsoft’s foundation AI models. Microsoft 365 security, compliance, access controls, and privacy commitments continue to apply.

Is Microsoft 365 Copilot Chat Safe to Use?

Yes. When you sign in with a work or school account, Microsoft 365 Copilot Chat includes enterprise data protection and is covered by the same security, compliance, and privacy commitments that apply across Microsoft 365.

Your Data Stays Protected

When you use Microsoft 365 Copilot Chat with your work account:

  • Your conversations are not shared with other users and are never made public.
  • Your prompts and responses are protected by Microsoft’s enterprise data protection.
  • Your data is encrypted and handled within Microsoft’s secure environment.
  • Your prompts, responses, and work content are not used to train Microsoft’s foundation AI models.
  • Microsoft 365 security, compliance, retention, audit, and access controls continue to apply.

This means you can take advantage of AI-powered assistance while maintaining the same security standards you’re already relying on within Microsoft 365.

What Happens When You Upload a File?

Uploading a file to Microsoft 365 Copilot Chat doesn’t mean you’re giving up control of it.

If you upload or reference a document, spreadsheet, presentation, or other file:

  • The file remains protected under Microsoft’s enterprise data protection controls.
  • Uploaded files are stored within your Microsoft 365 environment, including OneDrive for Business where applicable.
  • The content isn’t used to train Microsoft’s foundation AI models.
  • Existing permissions and access controls still apply. Users can only access content they already have permission to view.

In short, uploading a file to Microsoft 365 Copilot Chat doesn’t make it public. Your files remain protected and subject to the same controls already in place within your Microsoft 365 environment.

What About Web Search?

To improve responses, Microsoft 365 Copilot Chat can use web grounding. This means it may generate a short search query and securely send it to Bing to retrieve relevant and up-to-date information from the internet.

Microsoft states that these generated search queries:

  • Do not include user or tenant identifiers or sensitive information.
  • Are sent through a secure connection.
  • Consist of only a small number of keywords derived from your prompt.
  • Help Copilot provide more accurate and relevant answers.

This allows Copilot to provide more relevant answers while helping protect your privacy.

You’re Still in Control

One of the biggest misconceptions about AI is that it automatically searches everything across your organisation.

In its standard form, Microsoft 365 Copilot Chat is grounded in web data and does not automatically search across all your company’s files, emails, meetings, or chats.

Microsoft 365 Copilot Chat can only use organisational content when:

  • You choose to upload or reference a file.
  • You paste content into a prompt.
  • You’re using Copilot Chat within Outlook.
  • You’re working with content already open in supported Microsoft applications.
  • You’re using an approved agent that has been granted access to specific organisational data.

Simply put, you remain in control of what information Copilot can access.

Business Use vs Personal Use

It’s important to understand that not all Copilot experiences offer the same protections.

When you sign in using a work or school account, Microsoft 365 Copilot Chat provides enterprise data protection. Microsoft specifically notes that these protections do not apply in the same way when using consumer Copilot experiences with a personal Microsoft account.

For business use, always sign in with your work account to ensure your data benefits from Microsoft’s enterprise security, compliance, and privacy protections.
